Use Cases
Over the years, unused rooms collect on the eRoom server—quite often as completed projects. These rooms clog up the server, weigh down backups, and take up online storage capacity. “eRoom | offlineExplorer” was developed specifically for this purpose. The following are typical use cases for the permanent archiving of eRoom content:
- Reducing infrastructure costs by archiving rooms and then deleting them from the server
- Archiving eRoom content in order to meet legal and corporate regulations (compliance)
- Cleaning up the eRoom server before an upcoming upgrade or migration (for example, to EMC CenterStage Pro or Microsoft SharePoint)
Functionality and Format
“eRoom | offlineExplorer” allows you to create a copy of a room that can be read entirely offline. This archived room will be saved with all its content such as documents, project plans, databases, discussions, approvals, notes, links, etc., as well as with components of the user interface and hierarchical structures.
This room is archived offline and can be opened with any standard Web browser. A special viewer is not necessary.
Rooms archived offline are saved as Windows folders.
Each element consists of its own folder, an XML file for storing metadata, and the content and saved “Office” documents.
This allows any search engine to index and retrieve the archived rooms and their content.

This universal archiving format makes it possible for the first time ever to permanently archive eRoom content in accordance with legal and corporate regulations (compliance).

We offer a full license that allows the export of an unlimited number of rooms for long-term use or for archiving a large number of rooms.
To archive fewer rooms, you can purchase a basic license and corresponding “export bundle” licenses. This model provides cost-effective export starting at ten rooms. Additional “export bundles” for the archiving of individual rooms can be purchased at any time.
